Executive PA to CEO

Terms of reference


  • Help the CEO in all day-to-day activities where possible to ensure his time maximises value for the company
  • Liaise with customers on behalf of the CEO
  • Help the CEO with executive recruitment
  • Manage the calendar of the CEO
  • Manage the to-do list of the CEO to make sure all tasks are completed and help to prioritise actions
  • Research and carry out specific projects on request
  • Capture and track documentation (eg. Receipts) of the CEO
  • Manage CEO email inbox
  • Organise travel for the CEO, both domestic and international, business and private
  • Organise internal and external events
  • Create itineraries 
  • Track event invites and get decisions on attendance
  • Organise the CEO’s personal affairs including restaurant bookings, private house management etc

Ensuring productivity

  • Help to get actions tracked on during meetings and help ensure the actions are tracked and followed to completion. 
  • Collate information before meetings
  • Help to coordinate company objectives vs everyone's individual objectives 
  • On occasion attend key meetings, take minutes

Supporting customer requests

  • Pull together information needed for client requests 
  • Ensure client issues are prioritised
  • Previous experience working in a similar position in a fast-paced environment 
  • Extremely well organised and detail oriented
  • Experience in looking after the needs of a busy C-suite level executive in both private and business function
  • Enthusiastic with a positive attitude, willing to attempt tasks not previously attempted
  • High attention to detail and an ability to remember task-related details
  • Perfect written & spoken English
  • Proficient in MS Word, Excel and PowerPoint
  • Ability to use social media
  • Someone who enjoys varied challenges and has a sense of urgency
  • Ability to make an excellent first impression to potential clients
  • Ability to deal calmly with difficult and demanding circumstances, events and people
  • Happy with diversity in day-to-day tasks

This is a full-time role and will be based in our head office in Chiswick, London.
